Pre-Migration Checklist
Before you export a single row of data, do this work. It makes the migration dramatically cleaner.
1. Audit Your Data
Pull a full export from your current CRM and do a quick assessment. How many constituent records do you have? What percentage have email addresses? How many duplicate records can you spot? Are there orphaned records — donations with no associated constituent?
You don't need to fix everything before migrating, but you should know what you're working with. A migration is an excellent opportunity to clean data; a messy migration just moves the mess to a new address.
2. Identify Your Critical Fields
Make a list of every custom field in your current CRM that matters. This is your field mapping document — you'll need it to match fields in the new system. Common critical custom fields include: constituent source (how they were acquired), giving capacity ratings, volunteer status, communication preferences, and program area interests.
Also list what you don't need to bring. Old imports with bad data, duplicate constituent types, deprecated campaigns — migration is the right time to leave these behind.
3. Set Up Your Test Environment
Before your live migration, import a sample of 50–100 records into the new CRM. Verify that names, addresses, email addresses, giving history, and custom fields all came through correctly. Fix your import template based on what you find. This test run catches 90% of migration issues before they affect real data.
How to Export from Major Platforms
Every major CRM can export your data — they're legally required to, and most make it reasonably straightforward. Here's the quickest path from the platforms we see most often:

- Archived campaigns from 10+ years ago (keep giving history, skip the metadata)
The Weekend Migration Plan
A clean migration from a mid-size nonprofit's CRM — say, 3,000 constituents and 10,000 gift records — can realistically be done over a weekend. Here's the timeline:
Friday: Export and Prepare
- Export all data from your old CRM (constituents, gifts, notes, campaigns)
- Clean your CSV files: remove duplicates, fix malformed addresses, standardize field formats
- Create your field mapping document: old field name → new field name
- Communicate to staff that the old CRM is going read-only as of Friday 5pm
Saturday: Import and Verify
- Import constituents first, then gifts (gifts reference constituent IDs)

Post-Migration Checklist
Before you declare victory, verify these critical items in your new CRM:
- Process a live donation. End-to-end: donor submits form, gift appears in CRM, automated acknowledgment email sends correctly, donor receives receipt.
- Verify your top donors' records. Check giving totals, contact information, and any notes. These relationships have the highest stakes.
- Test your acknowledgment templates. Send yourself a test acknowledgment for each fund or campaign you use.
- Verify email opt-outs were migrated. Sending email to unsubscribed donors creates legal and relationship risk.
- Check your recurring gifts. Verify all active sustainers are set up with correct amounts and billing schedules.
- Pull your standard reports. LYBUNT, retention rate, fund summary — do the numbers match what you expect based on your old system?
Common Migration Mistakes to Avoid
- Migrating without cleaning. A migration is the best opportunity you'll ever have to deduplicate and clean your database. Don't skip it.
- Moving too fast on recurring gifts. Double-check every active sustainer individually. A missed or duplicated charge damages the donor relationship significantly.
- Forgetting soft credits. Gifts to donor-advised funds, matching gifts, and tribute gifts often have soft credit associations that are easy to lose in migration. Export and verify explicitly.
- Not briefing your board. If board members use the old CRM — for stewardship call lists, for example — they need to know about the switch and receive a brief orientation.
- Canceling the old system too early. Keep read-only access to your old CRM for 90 days after migration. You'll need it as a reference at least once.
